Frequently Asked Questions
What are the primary requirements of the CQI+ program?
Pharmacy teams must implement an online incident management platform for practice incidents and close calls, complete a validated Safety Self-Assessment (SSA), develop site-specific policies, and conduct regular CQI meetings (at least quarterly).
What is the ISMP Canada data processing fee, and how does it apply to my pharmacy?
The data processing fee is a separate charge by ISMP Canada and is not included as part of Pharmapod’s services or fees.
The ACP requirements seem straightforward. Why invest in a more robust platform?
The ACP requirements are clear, but the implementation can be time-consuming for a busy pharmacy team. We built Pharmapod for practice incidents and close calls and to ensure that ‘being compliant’ doesn’t become a second full-time job for your staff. For example, our CQI and Staff meeting agenda templates are pre-filled based on your data. It turns a 2-hour manual process into a 15-minute review. It’s less about just ‘having a tool’ and more about ensuring your team actually has the capacity to use it without burning out.
What’s the biggest 'hidden' benefit that my team will notice on day one?"
Honestly? It’s the reduction in ‘double-entry.’ Many lower-cost systems require you to enter data in one place and then manually create a report for your CQI meetings or for the College later. In Pharmapod, you enter the incident once, and it automatically populates your meeting agendas, analytical insights and your provincial reports. It’s the ‘peace of mind’ of knowing that when an inspector walks in, you just have to click one button to show you’ve met every single CQI+ requirement.
Is the extra cost worth it compared to a basic platform?
It’s helpful to look at what the Alberta College of Pharmacy (ACP) actually audits. They aren’t just looking for a list of incidents; they are looking for evidence of a safety culture. Most lower-cost platforms are ‘data repositories’—they store information but don’t help you analyze it. If an incident occurs, Pharmapod guides your staff through a formal Root Cause Analysis (RCA). This is the ‘In-depth’ part of CQI+ that the College looks for.
Other platforms are half the price and offer RCA and Action Plans too. Why pay more for Pharmapod?"
It’s true that other platforms meet the basic ACP requirements. The difference is in who does the work. * Basic tools are often built as ‘data entry’ platforms. You enter the incident, and you have to manually think through the analysis and type out the plans.
Pharmapod is a Decision-Support engine. We use guided, clinical frameworks (like the 5 Whys) that lead your staff through the ‘why’ automatically. If your pharmacist saves just 15 minutes per incident because of our guided workflow, you aren’t just saving time—you’re saving more in labor costs than the entire price difference of the software.
Other platforms link to the NIDR. Isn’t the data the same?
While it’s true that any ACP-compliant platform must facilitate the anonymous, automatic submission of incident details to the NIDR, there is a massive difference in what happens to that data inside your pharmacy.
- Automated Compliance: Pharmapod ensures your regulatory duty is handled automatically, documenting and transmitting de-identified reports directly to the NIDR so you never have to worry about manual uploads.
- Actionable Intelligence vs. Static Logs: A basic platform might simply ‘store’ your incident to meet the mandate. Pharmapod’s Data Insights Dashboard turns those raw numbers into visual trends and ‘Staff Huddle’ talking points automatically.
- The ‘Plus’ in CQI+: We don’t just help you report; we help you improve. Our platform maps your pharmacy’s specific risk areas and guides you through Root Cause Analysis (RCA) and SMART action plans to prevent recurrence—features that turn a mandatory task into a tool for clinical excellence.
What is a "validated" Safety Self-Assessment (SSA) and why do I need one?
In alignment with the ACP’s CQI+ program, pharmacies must engage in the ‘Prevent’ activity by using a recognized safety self-assessment tool to proactively identify practice risks. Currently, the ACP recognizes two tools as meeting the provincial standard: Pharmapod’s PSSA and ISMP Canada’s MSSA.
Is the SSA included in the Pharmapod subscription?
Yes it is built in. While some platforms require you to purchase a standalone SSA separately—often adding nearly $100+ to your annual costs—Pharmapod includes the nationally validated PSSA in our base pricing.
How often must the SSA be completed? The self-assessment must be documented by the licensee at least every two years, or within six months of a licensee change. Pharmapod also retains your historical assessments, so you always have access to the completed ones and can use that information for action planning ahead of the next one.
Other platforms are available at a lower price. Why is Pharmapod a better value?
When comparing costs, look at “Total Compliance.” If a platform does not include a validated SSA like our PSSA, you may have to pay an extra fee to a second vendor to meet ACP requirements. Pharmapod provides a unified, all-in-one ecosystem that eliminates hidden fees and the administrative burden of managing multiple logins.
How does Pharmapod help me during an ACP inspection?
While NIDR data is kept anonymous, ACP inspectors will still review your pharmacy’s incident documentation and resulting action plans during on-site assessments. Pharmapod provides audit-ready dashboards and reports that serve as clear evidence of your incident management, follow-up actions, and commitment to continuous improvement. This allows you to confidently demonstrate full compliance with all ACP requirements.
Can I use Pharmapod if I have a proprietary system from my banner?
Yes. We offer the PSSA as a standalone option for pharmacies that use proprietary systems for reporting but still require an ACP-recognized, validated self-assessment tool.
