Frequently Asked Questions

What are the mandatory requirements of the CIRCL program?

The CIRCL (Continuous Improvement, Reporting, Collaborating, and Learning) program is built on four foundational elements that every community pharmacy must implement:

  1. Reporting: Anonymized reporting of all medication incidents and “near misses” to a national database (NIDR).
  2. Continuous Improvement: Completing a Safety Self-Assessment (SSA) to identify system vulnerabilities.
  3. Collaboration: Holding at least one documented staff safety meeting per year to review data.
  4. Learning: Creating and tracking formal Quality Improvement (QI) Action Plans.

Yes. Under the CIRCL program, all BC community pharmacies must complete their first MSSA by June 1, 2027. Unlike Alberta, which requires an assessment every 2 years, BC mandates a new assessment every 3 years. Currently, the CPBC recognizes only two vendors as having a SSA tool that meets the provincial standard: Pharmapod’s PSSA and ISMP Canada’s MSSA.

The Data Sharing Agreement (DSA) is a formal document between ISMP and the pharmacy that specifies the necessary data fields that Pharmapod will share anonymously to populate the national incident data repository (NIDR).

It is important to note that the data processing fee, which is a separate charge from ISMP Canada, is not covered by or included in Pharmapod’s services or fees. Pharmapod does not impose a charge for the data integration with ISMP.

The CIRCL requirements are clear, but the implementation can be time-consuming for a busy pharmacy team. Pharmapod saves time with digital workflow efficiencies. Enter data into Pharmapod incidents and good catch forms only once and that data continues to populate other areas required for CIRCL.  For example, CQI Staff Meeting reports are quickly generated saving 2 hours of set up, Root Cause Analysis is autopopulated, setting the team up to complete the 5 Whys exercise in seconds and automatic notifications ensure the right people know about the event at the right time without manual steps.  Clients have claimed an 80% reduction in staff and management time when they started using Pharmapod.

Honestly? It’s the reduction in ‘double-entry.’ Many lower-cost systems require you to enter data in one place and then manually create a report for your QI meetings or for College inspectors later. In Pharmapod, you enter the information once, and it automatically populates your meeting agendas, analytical insights with event trends, medications involved, completion statistics), and your provincial reports. It’s the ‘peace of mind’ of knowing that when an inspector walks in, you just have to click one button to show you’ve met every single Quality Requirement required by CPBC.

It’s helpful to look at what the College of Pharmacists of British Columbia (CPBC) actually audits. They aren’t just looking for a list of incidents; they are looking for evidence of a safety culture. Most lower-cost platforms are ‘data repositories’—they store information but don’t help you analyze it. If an incident occurs, Pharmapod guides your staff through a formal Root Cause Analysis (RCA). This is the ‘In-depth’ part of CQI+ Continuous Quality Improvement that the College looks for.

It’s true that other platforms meet the basic CPBC requirements. The difference is in who does the work. Basic tools are often built as ‘data entry’ platforms. You enter the incident, and you have to manually think through the analysis and type out the plans.

Pharmapod is a Decision-Support engine. We use guided, clinical frameworks (like the 5 Whys) that lead your staff through the ‘why’ automatically. If your pharmacist saves just 15 minutes per incident because of our guided workflow, you aren’t just saving time—you’re saving more in labor costs than the entire price difference of the software.

While it’s true that any CPBC compliant platform must facilitate the anonymous, automatic submission of incident details to the NIDR, there is a massive difference in what happens to that data inside your pharmacy.

  • Automated Compliance: Pharmapod ensures your regulatory duty is handled automatically, documenting and transmitting de-identified reports directly to the NIDR so you never have to worry about manual uploads.
  • Actionable Intelligence vs. Static Logs: A basic platform might simply ‘store’ your incident to meet the mandate. Pharmapod’s Data Insights Dashboard turns those raw numbers into visual trends and ‘Staff Huddle’ talking points automatically.
  • Quality Improvement: We don’t just help you report; we help you improve. Our platform maps your pharmacy’s specific risk areas and guides you through Root Cause Analysis (RCA) and SMART action plans to prevent recurrence—features that turn a mandatory task into a tool for clinical excellence.

Yes it is built in. While some platforms require you to purchase a standalone SSA separately—often adding nearly $100+ to your annual costs—Pharmapod includes the nationally validated PSSA in our base pricing.

The self-assessment must be documented by the licensee at least every three years. Pharmapod also retains your historical assessments, so you always have access to the completed ones and can use that information for action planning ahead of the next one.

When comparing costs, look at “Total Compliance.” If a platform does not include a validated SSA like our PSSA, you may have to pay an extra fee to a second vendor to meet CPBC requirements. Pharmapod provides a unified, all-in-one ecosystem that eliminates hidden fees and the administrative burden of managing multiple logins.

The Practice Review Program (PRP) remains the College’s primary assessment tool. While data sent to the NIDR is anonymous, CPBC Compliance Officers will review your pharmacy’s internal records and action plans during these PRP assessments to ensure you are meeting CIRCL standards.

Pharmapod provides audit-ready dashboards and reports that serve as clear evidence of your participation in the CIRCL program. This allows you to confidently demonstrate compliance with incident reporting, document your mandatory annual team meetings, and prove your commitment to continuous quality improvement.

Yes. We offer the PSSA as a standalone option for pharmacies that use proprietary systems for reporting but still require a CPBC recognized, validated self-assessment tool.
